Constitution basis: This policy reflects clauses 2.7, 7.5, 7.6 and 7.7 and the member declarations in Appendices 1 and 2 of the IHOM Constitution (2026 version). It also explains how this website operates.
Information IHOM collects
IHOM collects information that you provide through membership applications, contact forms, event bookings and direct communications. Depending on the activity, this may include your name, email, username, optional phone number, optional address, optional occupation, music expertise, portfolio information and the content of your enquiry.
Why IHOM uses information
IHOM uses information to assess membership applications, maintain the member register, provide account access, administer events, respond to enquiries, send association notices and community updates, protect the website and comply with the Constitution and applicable obligations.
The member register
The Secretary is responsible for the register of members, which must be kept in New South Wales at IHOM’s premises or official address. Under clause 2.7, members may inspect the full names in the register free of charge and may obtain a copy subject to the fee limit in the Constitution.
A member may request that information about them in the register not be available to the public. Register information must not be used to contact a person or send material except for association newsletters, meeting or event notices, other IHOM material, or a purpose required by the Associations Incorporation Act or Regulation.
Disclosure and service providers
The member declaration states that IHOM will not release personal information to a third party where the member has not consented to share it. IHOM may nevertheless use service providers needed to operate hosting, email, forms, security and event administration, and may disclose information where consented to or required by law.
Website cookies and security
The website uses essential cookies and technical data for login, form protection, security and normal site operation. IHOM takes reasonable steps to protect information, but no internet service can guarantee absolute security.
Access, correction and privacy requests
You may ask IHOM to access or correct your information, update your profile details, or record a privacy preference for the member register. A deletion request may be limited where IHOM must retain a membership or governance record.
Your responsibilities
The member declaration requires members to obtain consent before posting information that relates to another person and prohibits defamatory, abusive, privacy-invasive or otherwise unlawful material. Read the complete IHOM Constitution and Membership Terms and Conditions.
